A careful transition is an ownership exercise. The goal is not immediate wholesale change; it is to transfer access, dependencies, open work, and decision context safely enough to operate.
Transition sequence
Clarify whether the change is driven by ownership gaps, employee experience, neglected maintenance, unclear scope, or a changed company-not by a generic desire for “better IT.”
Identify supported users, devices, Microsoft 365, critical applications, domains, vendors, privileged access, contracts, and known open work. Do not send credentials through a public form.
Define authorized contacts, incumbent coordination, access-transfer method, communication responsibilities, and what happens if documentation is incomplete.
Confirm core access and support paths, then order maintenance, security-baseline, and improvement work by business impact and evidence.
Document what the incoming provider owns, what remains with leadership, and which specialist vendors still carry product-specific responsibility.
A transition plan should distinguish what is known, what needs incumbent help, what can be verified independently, and what remains a business risk until resolved.
Come prepared
Authorized business contacts, approximate user count, locations, joiner/leaver owners, and who can approve access or material change.
Microsoft 365 context, supported device types, critical applications, internet/voice providers, domains, and specialist support contacts.
Recurring issues, planned changes, unresolved incidents, renewals, aging equipment, and decisions waiting on leadership.
Current agreement dates, owned versus leased assets, known project commitments, and any obligations requiring direct legal or procurement review.
When to pause
Pause if a proposal assumes complete documentation, guarantees a frictionless takeover without discovery, asks for secrets through an unsafe channel, or treats every inherited condition as included recurring work.
