Phone systems and VoIP

The phone system is infrastructure too.

A VoIP outage stops calls as completely as a Wi-Fi outage stops laptops - but the phone system often has no visible owner at all. It gets treated as a utility nobody thinks about until reception can't answer a ringing line. It belongs inside the same managed relationship as the network it runs on, with the same setup, maintenance, and escalation discipline as everything else.

What VoIP support can cover

Four areas, one visible owner.

Handset and softphone setup

New employees, desk moves, and softphone installs on laptops and mobile devices follow the same setup path as a new account or device, not a separate, forgotten step.

Call routing and extensions

Extensions, hunt groups, voicemail, and after-hours routing are configured and kept current as people join, move within the company, or leave.

Carrier and SIP trunk coordination

When call quality or an outage traces back to the telecom carrier or SIP trunk provider, we can open and track that escalation instead of leaving you to call it in alone.

Shared network dependency

Call quality depends on the same connection and network hardware as everything else in the office - a shared foundation, not a separate concern.

Where scope matters

"We'll sort out the phones" needs an operating definition.

Can fit recurring scope

User and extension setup, voicemail and routing changes, softphone deployment, and coordinating the escalation when the carrier or SIP trunk is at fault. Adding or removing a line when someone joins or leaves follows the same process as any other account change.

May need separate work

A full phone-system replacement or platform migration, new cabling for desk handsets, and carrier contract negotiation or number porting - this usually runs as its own project. See IT projects and office moves.

Before signing

Questions worth asking about the phone system.

  • Is the phone system cloud-hosted VoIP, an on-site PBX, or a mix of both?
  • Who is the authorized contact for a carrier or SIP trunk escalation?
  • What happens to call routing during an internet outage - is there an actual fallback?
  • Are handset and softphone licenses tracked through the same device and account process as everything else?
  • If the office relocates or adds a line, is that priced as its own project or assumed to be free?
